The primary responsibilities of the Buildings and Grounds Administrative Assistant are to be a point of contact for inquiries to the department; provide great customer service and handle all administrative and clerical duties related to the Buildings and Grounds department.
Duties Adhere to all company policies and procedures; set a good example for others.
Attend/complete all in-services, training and meetings as required by Sunnyside.
Meet all training requirements as required by Federal and State regulations and by Sunnyside.
Demonstrate a commitment to safety by following safety rules & guidelines; follow good housekeeping practices, take proper care of equipment and perform job duties and responsibilities in a safe and responsible manner.
Be dependable, reliable and punctual with attendance; plan appropriately for absences when possible.
Show initiative and drive within scope of job responsibilities; show initiative without needing direction but ask for clarification, correct errors and request assistance in timely manner, handle unexpected situations calmly and efficiently to minimize problems.
Show commitment to giving quality service and make continuous efforts to improve; consider accuracy & appearance of work, learn from mistakes while taking action to reduce errors and understand the role quality plans in customer satisfaction.
Understand and respond to resident/customer needs; give complete and timely responses and always be respectful and courteous while following through with communication efforts.

Ensure personal hygiene, appearance and dress; present neatly groomed appearance and follow department dress code ensure identification badge is worn where visible.

Ensure all emergency preparedness practice drills and protocols are followed.
General Office:
Answering phones, typing all professional letters, memos, responses, building permits, etc.
Posting of notices on In-House TV system for B&G notices, ordering of all uniforms, maintaining office supplies, office budget and equipment, assisting vendors and residents as needed, sending out SARA notices of emergency issues such as power outages, major water leaks, etc.
Accounting:
Process and maintain a record of all purchasing transactions completed for B&G department to include but not limited to purchase orders, credit card transactions, check requests, etc.
while ensuring appropriate accounts are coded and paperwork is processed accurately and timely.
Phone System:
Maintaining phone system data base including all phone changes through the NEC-SV9300 PCPro System, programming of all DTERM phones, troubleshooting phone/voicemail problems, updating name stamps on all office lines, assisting in set up of voicemails for new employees, completing all phone changes as requested, programming & maintaining System Speed Dial numbers and assignments, maintaining accurate database of phone numbers/locations for 911 programming on INTRADO software Requirements:
Qualifications Education and experience equivalent to high school diploma required; associate's degree preferred.
Previous administrative / clerical experience preferred.
Ability to communicate with older population with varying mental and physical capabilities.
Ability to process information accurately, make appropriate decisions and take appropriate action based upon the information available.
Ability to work with confidential information and maintain its' integrity.
Sincere interest in working with the elderly.
Efficient operation of computer and office equipment; ability to learn and operate new and changing software applications as well as assist others in their use.
Familiar with Microsoft Office (Word, Excel, Publisher, PowerPoint).
Strong written and verbal communication skills, strong phone etiquette as well as strong grammar and proofreading skills.
Ability to multi-task while maintaining attention to detail and having good organizational skills.
Current Virginia driver's license and meets driver eligibility requirements per Sunnyside policy HR069 preferred.
Strong customer service skills; maintain a hospitality approach to engaging with all individuals.
